How we work

Our gear, our crew, your show.

We own the gear

LED walls and tiles, spheres, counters, podiums, kiosks, structures, and the AV around them. It is our inventory, not a sub-rental chain, so we know exactly what shows up.

We crew the show

The same crew chief from quote to load-out, and you have their cell. They build it, run it to the cue sheet, and strike it. You crew it or we crew it, your call.

How we crew a show

We can run white-label

For exhibit houses and AV partners, the gear goes in unbranded and your client sees your brand. Clean paperwork, built for repeat orders.

What to expect

Life of a project.

Most people asking us for an LED wall have not ordered one before, and the part that worries them is not the screen. It is everything between the quote and the show floor. So here is the whole sequence, the way it actually runs on our jobs. Nine steps, in order, with what you do at each one and roughly when. If your show is on a tighter clock than this, say so in the first email and we will tell you what is still possible.

Phase 1

Quoting and booking

Day one to about two months
  1. 01 Your move

    You send us the show

Email us the show, the venue, the dates and the booth number. Drawings or a floor plan if you have them; a bullet list is enough to start. You get a reply from a person the same day, asking for the things that change the build: exact dimensions, any radius, how deep the structure is, where each piece sits, and when you need the quote by. While that is going back and forth our technical team is checking pitch, mounting, power, weight and content resolution. If something is genuinely unknown, we test it rather than guess.

    Day one
  2. 02 We handle it

    You get the quote

A PDF with a signature page at the back. Where there is a real choice to make, you get costed options side by side instead of one number. If your project has two separate scopes, you get two quotes, so you can move on one without waiting on the other.

Same day to three business days
  3. 03 Together

The quote changes until it is right

Scope moves. Three to seven versions is normal and not a problem. Every version is numbered, and every re-issue comes with a plain list of what changed and why the total moved. When a date protects your inventory or a production slot, we tell you the date.

    Two weeks to two months
  4. 04 Your move

You sign, and it goes on the calendar

You digitally sign the last page of the quote. Exhibit and corporate clients usually add a purchase order; direct clients pay a deposit, with the balance due before the gear ships. We confirm in writing that the signature landed and the job is on the schedule. If scope changes after that, we issue a new version, you re-sign, the old contract is voided, and anything you have already paid carries forward. You only ever have one live contract.

Hours to two days after you say yes
Phase 2

Built, papered and shipped

From scope firming up to two and a half weeks out
  1. 05 We handle it

Drawings, pixel maps and your artwork deadline

You get structural drawings your booth builder can build to, in PDF and DWG, checked against your booth system's own CAD and marked with real clearances. Your content team gets a pixel map and graphic templates, including the zones a platform or structure will block. You get a dated artwork deadline tied to the production slot, and we review your test file before you commit to it.

Starts as soon as scope firms up
  2. 06 We handle it

    Show paperwork, rigging and power

We register as your contractor with the show, carry the insurance certificate, and book rigging with the venue or its exclusive rigger. We review the electrical order, order internet, pull the target move-in times off the floor plan, request dock access, and submit badges for each technician by name. There is usually one form only the exhibitor can sign. We will tell you exactly which one and when it is due.

Six weeks to one week out
  3. 07 We handle it

We pack it and ship it

Your order is pulled, scanned case by case and labelled the way the show wants it, per booth or per room. It goes to the advance warehouse ahead of the deadline. Processors, controllers and show computers ship direct to site instead, because we would rather they did not sit in a marshalling yard. If you have bought items for the booth, ship them to us and everything travels as one shipment. Depending on where your show is, it leaves from Las Vegas or from our Florida warehouse.

To the advance warehouse about two and a half weeks out
Phase 3

On site, and after

Show week, then one to three weeks
  1. 08 Together

    Load-in, install and show days

Our crew works alongside your booth builder from the first build day, not just for a screen drop. Cable goes in before flooring where it has to. We build and commission the wall, set audio and lighting, load your content and test it. If you need something changed on the floor, you get a price and a yes or no the same day, and when the schedule is at risk we send the crew first and settle the labour after. During the show there is someone on site or on call who fixes it and tells you it is fixed.

On site three to four days before open
  2. 09 We handle it

Strike, return and the final number

We dismantle on the show's schedule, usually the evening of close or the next morning, and everything is scanned as it leaves the floor and again when it lands back at the warehouse. Then it goes through inspection. If something of yours went home in our cases, we tell you what we have found while we are still looking rather than at the end. The final contract version reflects what actually happened on site, including any extra hours and what it was, and drops anything you did not use. The final invoice references your PO.

Show close, then one to three weeks
